Delegating work activities to others is almost an art form, and can be a real minefield. It's also a big topic, so this short article introduces you to the basics.
Workforce Management will depend upon your delegation skills, and is crucial in your management of project resources.
You have probably seen (or felt!) bad examples of it in your own workplace.
The Project Manager has to allocate packages of work to their team and it is important to be totally clear about what and how the delegation will occur. We have all met managers who either ‘dump and run’ with the work they give us, or who give out work and then sit on our backs (‘micro-managing’)
First, decide on your level of involvement:
- Do this task, come back and get my approval before proceeding any further
- Do it this way, keep me informed of progress, and get my agreement when it is completed
- Do it this way, and tell me when you have done it
- Create a plan to do it, agree it with me, and keep me informed of your progress
- Create a plan to do it, and tell me when you have finished

Having decided on your level of involvement
- Clarify the level of role and responsibility
- Ensure the person has the authority as well as responsibility to carry out the work or task
- Never abdicate always delegate
- Consider this list to ensure that the delegated person understands:-
- Why the work needs to be done
- What the task and activities are
- Any techniques/processes/procedures to be used
- Which others must be communicated/interfaced with
- What constraints to be considered
- Any assumptions that have been made
- What The scope of the task is (what's 'in' and what's 'out')
- The date by which the job needs to be completed
- The authority given to make decisions
- The standards to be achieved
- How progress reporting and monitoring takes place
- Which problems to escalate
